What courses are moving to Workday Learning?
Most research-related training will transition from Learn@Work to Workday Learning in spring 2026. This includes trainings listed on the trainings for researchers page and others.
Courses include Financial Conflicts of Interest Education, Good Clinical Practice, Human Subjects Education, Responsible Conduct of Research Training, Intellectual Property Agreement, Animal Care and Use, Environmental Health and Safety, etc.
Courses in Learn@Work list if they are Full Conversion (available for completion in Workday Learning), Historical Data only (completions sent to Workday Learning for Reporting, but not available for new completions) or No Conversion (no completion history sent to Workday Learning).
What completion data will be in Workday Learning?
For compliance training, all possible completion history will be transferred to Workday Learning. However, not every person in Learn@Work has a Workday profile. If a worker was terminated before 1/1/2021, there is not a profile in Workday onto which training history can be loaded.
For non-compliance training, history may or may not be moved to Workday Learning. For example, RA forum and STAR trainings will have historical completions loaded, but some professional development such as NCURA webinars and the Fellowship Writing Workshop will not transfer.
Where will data live that cannot be transferred to Workday Learning?
Learn@Work completion data for all courses and individuals will be stored in the Data Warehouse. Specifics of this process and access to data are still being finalized.
Will there be downtime where training cannot be accessed?
For compliance training, very minimal, if any, downtime is expected. However, there may be impacts if training is completed near the go-live date. If Learn@Work data has already begun transfer to Workday Learning, there may be delay in getting last-minute completions into Workday Learning. This may impact integrations, such as RMS, that will begin receiving data from Workday Learning rather than Learn@Work.
What to Know About Workday Learning
What security role do I need to run learning reports?
Department administrators need one of these security roles to view learning assignments and completions:
- Departmental HR Partner
- Departmental HR Partner Lead
- Learning Partner
By default, these roles only provide access to the individual’s supervisory organization (SupOrg). The SupOrg owner is not part of the SupOrg. Department administrators likely need to request Learning Partner one level higher than the required SupOrg. If the reporter has access, the named SupOrg owner will pull into reports by default using behind-the-scenes logic.
Example: The security role Departmental HR Partner for SUP1234567 owned by Marie Curie does not allow reporters to see data for Marie Curie. The Learning Partner security role must be requested for one level higher than that SupOrg. Then Dr. Curie’s learning records will pull in when running reports for SUP1234567.
Learning Partner can also be requested for all of WashU (Washington University in St. Louis (Martin, Andrew D.) (SUP104992)). You may need to provide information about why you need access beyond your department.
If you need to request a new security role, submit a Workday security request (login to Service Now prior to clicking the request link).
Can I verify that my security is correct before go-live?
You can verify if you have access to learning data by searching for “Harassment Prevention Training for Learning Metrics.” This is a custom dashboard to track assignment status for this training that was assigned to all workers.
Workday has not yet added the logic of including the SupOrg owner in report outputs, even if the person running the report has the correct security. This is being tested in a non-production tenant of Workday before it is available.
How can researchers access certificates of completion?
In Workday Learning, certificates are only available by running a report as an individual learner, or by their administrators. There is not a way to download the certificate of completion from the learner’s course page. A link to the report (RPT7387) is available from the Learning module’s home page.
The advantage of certificates being accessible through a report is that department administrators can run this report for individuals for which they have other reporting access.
However, some certificates of completion should not be pulled from Workday including Human Subjects Education and Good Clinical Practice completed in CITI. These certificates should be downloaded from CITI by the individual.
There are planned improvements for this functionality including renaming the link to make it easier for learners to find and adding date fields for further filtering.
Will there be any changes to existing courses?
Self-paced course content is not changing for most courses. We are using the transition to Workday learning to make a few improvements:
- Effort reporting
- Training will no longer be split by campus. All faculty paid by a federal grant will be assigned the same training.
- Past completions of either effort reporting course are loaded to this new combined course.
- Training content has been redesigned and updated
- Intellectual Property Agreement
- Completing this course will no longer require viewing one large slide. Each person will be directed to review the Intellectual Property Policy, read the Intellectual Property Agreement text, and then digitally acknowledge agreement.
- Amphibians and Fish training
- In Learn@Work, one course covered both species. In Workday learning, there will be separate courses – one for Fish and one for Amphibians.
