Effective August 1, 2025, allocation and cost share requests should be submitted to Sponsored Projects Accounting (SPA) through a Monday.com form rather than submitted by email. The detailed excel templates remain the same. The link to the online Monday.com form is available on the Financial Services Forms webpage.
Form Instructions
- Complete only one online form per request. This helps SPA track each request and manage workload.
- Upload the completed allocation or cost share request directly into the Monday.com form. Although the allocation and cost share templates themselves have not changed, direct links to each are included in the Monday.com submission process for easier access (screenshot below). Do not upload Award Setup Templates.
- The entered department contact email immediately receives a confirmation that SPA received the form.
- Departments can track the status of these requests on the Research website. A Monday.com account is not required.
- After SPA processes each request, the department contact receives an email.

Starting August 15, 2025, only the new form will be accepted for these requests. Emailed requests will be redirected to complete the online form instead.
Best Practices
- To ensure payroll deadlines are met, submit requests to SPA at least 3 business days in advance of the deadline.
- Allocations only: When only moving funds from grant to grant in the same cost center, please process a Budget Amendment (BA) on the department level.
