Transition FAQs

Was my partially finished Learn@Work course transferred to Workday Learning?

No. Only fully complete courses with a successful status and matching date before the close of business Friday, April 24 were transferred to Workday Learning. To restart the course, search for the title in Workday.

What moved to Workday Learning?

All remaining training in Learn@Work, including all research-related training transitioned from Learn@Work to Workday Learning on April 27.

Courses include Financial Conflicts of Interest Education, Good Clinical Practice, Human Subjects Education, Responsible Conduct of Research Training, Intellectual Property Agreement, Animal Care and Use courses, Environmental Health and Safety courses, etc.

What completion data transferred to Workday Learning?

For compliance training, all possible completion history was transferred to Workday Learning. However, not every person in Learn@Work has a Workday profile. If a worker was terminated before 1/1/2021, there is not a profile in Workday onto which training history could be loaded.

Many non-compliance training was moved to Workday Learning including STAR couress, Research Administrator Forum attendance, RMS online training, and RMS 100.

Some professional development courses such as NCURA webinars and the Fellowship Writing Workshop did not transfer.

Where will data live that could not be transferred to Workday Learning?

Learn@Work completion data for all courses and individuals will be stored in a long-term storage data repository. Individuals will be able to request access to this data. Specifics of this process and access to data are still being finalized.

Is Learn@Work going away?

Yes. WashU’s contract with Learn@Work is planned to end in mid-2026. After the contract has ended, Learn@Work will no longer be accessible.

How can I access certificates of completion for training completed in Learn@Work?

If the training record will be transferred to Workday Learning (see What completion data will be in Workday Learning? above), a certificate of completion can be generated from Workday Learning. These will look different from Learn@Work, but will still contain all necessary information.

Certificates of completion for training records not transferring to Workday Learning will be lost after the Learn@Work contract end date. If you need to retain a certificate for any training not transferred to Workday Learning, download a copy from Learn@Work as soon as possible.

How do I generate a certificate of completion in Workday Learning?

Note: Certificates of completion for courses completed in CITI (Human Subjects Education and Good Clinical Practice) should not be generated from Workday. These certificates should be downloaded from CITI.  

What is different for live trainings?

Workday Learning generates an Outlook calendar invite that is automatically sent to the calendars of registrants. This invite contains either the zoom link or location of the session. If the zoom link or location changes, the Outlook calendar invite also updates.

Did any course structures change during the transition?

Learn@Work had a mechanism called a Certification to track ongoing training (EPA, FCOI, GCP, etc.).

Workday Learning does not have an equivalent structure that allows us to offer shortened “refresher” versions as Learn@Work did. This refresher content is still available in Workday Learning.

Using FCOI as an example, researchers are assigned the shorter version to complete. This allows researchers to more easily complete the correct version to re-complete training. There will be a prerequisite FCOI course that must be completed one time before the ongoing “refresher” version becomes available to that individual. For many current researchers, you can continue to re-complete the recertification or refresher version every four years because you likely have already met the prerequisite.

New researchers must complete the FCOI prerequisite course one time, then they can complete the recertification version when FCOI is due again in four years.

Some course content was updated

  • Effort reporting
    • Training is no longer be split by campus. All faculty paid by a federal grant are assigned the same course.
    • Past completions of either Effort Reporting course are loaded to this new combined course.
    • Training content has been redesigned and updated.
  • Intellectual Property Agreement
    • Completing this course no longer requires viewing one large slide. Each person will be directed to review the Intellectual Property Policy, read the Intellectual Property Agreement text, and then digitally acknowledge agreement.
  • Rodent Barrier Orientation
    • Content was updated.
  • Amphibians and Fish training
    • In Learn@Work, one course covered both species. In Workday learning, there are separate courses – one for Fish and one for Amphibians.

Other Systems and Integrations

Are integrated systems s(RMS, myIRB, and LAMPS) getting data from Workday Learning now?

Yes. These systems now get completions from Workday Learning.
